Part-Time Administrative/Operations Assistant (Remote — Southern California)

About the Role

Hatch Henderson Fivel (HHF), a boutique national legal recruiting firm, is looking for a detail-oriented, tech-comfortable administrative/operations professional to support our distributed team of three firm partners and our Operations Manager, to whom this role reports.

This is a semi-flexible part-time position — 18–25 hours per week, condensed into 2–3 weekdays, between the hours of 7am PT - 6pm PT. We're looking for someone who is experienced in provided remote, administrative support in a stable, ongoing part-time role, not a stepping stone. For the right person, there's real potential to grow into more hours, and eventually full-time, as the firm scales.

What You'll Do

  • Conduct research, compile data, and draft, edit, and proofread a range of documents — reports, notes, contracts, presentations, and correspondence — with sound judgment on content, accuracy, and completeness
  • Assist the Ops Manager with calendars and scheduling for firm partners
  • Draft and review communications on behalf of firm executives as requested
  • Organize and prepare for meetings: research, gathering materials, and logistics (calendar and video invites, etc.)
  • Maintain records, files, and our firm's CRM database through accurate data entry and upkeep
  • Join weekly firm meetings to take and distribute notes
  • Take on other related duties as they come up — we're a small team and roles here have some range

What We're Looking For

  • Prior administrative, executive assistant, or operations support experience (legal industry experience is a plus, but not required — genuine interest in learning the field goes a long way)
  • Prior remote work experience required
  • Excellent written and verbal communication skills
  • Strong working proficiency in Microsoft Office (Excel, Word, Outlook) and comfort picking up new tools and systems
  • Strong internet research skills
  • Excellent organizational skills, attention to detail, and time management
  • Ability to multitask, prioritize, and manage shifting priorities independently
  • A proactive, team-oriented mindset and professional discretion — you'll be handling sensitive information
  • A reliable, self-directed home-office setup, since this is a fully remote role
