Online Virtual Assistant – Car Rental Operations & Administrative Support (Remote)

We are seeking a proactive, detail-oriented Virtual Assistant who is organized, resourceful, and comfortable managing a variety of administrative and operational responsibilities in a fast-paced environment.

Position Summary The Virtual Assistant will provide administrative, customer service, marketing, and operational support for our car rental business. You will play a key role in managing customer communications, coordinating bookings, maintaining our online presence, assisting with website updates, and supporting day-to-day business operations.

This is a fully remote position with flexible scheduling based on business needs.

Key Responsibilities

Administrative Support

Manage calendars, appointments, and scheduling.

Organize digital files and maintain accurate business records.

Prepare reports, spreadsheets, and business documents.

Manage company email inboxes and respond to inquiries professionally.

Coordinate meetings and track follow-up tasks.

Customer Service & Reservations

Respond promptly to customer inquiries via email , phone, text, and online messaging platforms.

Assist customers with vehicle reservations, rental availability, pricing, and general questions.

Confirm bookings and communicate rental policies and procedures.

Coordinate vehicle pick-up and return schedules.

Address customer concerns and escalate complex issues when necessary.

Maintain accurate reservation records and customer information.

Operations Support

Track vehicle availability and rental schedules.

Assist with fleet scheduling and administrative coordination.

Monitor maintenance schedules and coordinate with service providers when needed.

Help maintain digital records for rentals, inspections, and vehicle documentation.

Support daily operational workflows to ensure smooth business operations.

Social Media & Marketing

Schedule and publish social media content across multiple platforms.

Respond to customer messages and comments professionally.

Create engaging captions and assist with basic graphic design using tools like Canva.

Monitor engagement and provide basic analytics reports.

Help promote special offers, seasonal promotions, and new vehicle availability.

Website & Online Listings

Update website content, pricing, and vehicle listings.

Upload new vehicle photos and descriptions.

Ensure rental information is accurate and up to date.

Monitor the website for errors and coordinate updates with developers when necessary.

Assist with basic SEO and online visibility improvements.

Customer Relations & Dispute Resolution

Assist in handling customer complaints and rental disputes professionally.

Document customer interactions and maintain detailed records.

Draft professional email s regarding rental issues, damages, billing questions, or policy clarifications.

Support management in resolving customer concerns while maintaining a positive customer experience.

Maintain confidentiality and professionalism in all communications.

General Business Support

Conduct online research as requested.

Coordinate with vendors, service providers, and business partners.

Assist with bookkeeping support, invoice tracking, or expense organization (as assigned).

Identify opportunities to improve business processes and efficiency.

Support special projects and other administrative duties as needed.
