The Opportunity
We’re looking for a highly detail-oriented Operations Coordinator to support the smooth running of our expanding Medical function at HeliosX. If you thrive in fast-moving environments, enjoy coordinating complex projects, and have experience supporting clinical or regulated teams – this is your opportunity to make a real difference in digital healthcare.
The Role
Reporting to the Global Clinical Governance Manager, you’ll work closely with our Medical Directors and Team Leads across governance, training, strategy, and clinical operations. You\'ll provide project and coordination support across multiple key workstreams – from tracking medical KPIs to enabling high-quality training and compliance processes.
This is primarily a remote/home-based role, with occasional travel to our office in Central London. The role is an initial 12-month contract.
What You\'ll Be Doing

  • Track and report on monthly medical KPIs and performance metrics
  • Coordinate cross-functional medical projects, ensuring milestones are met and stakeholders stay aligned
  • Review clinician performance dashboards, identify variances, and surface insights to support workforce planning
  • Administer the Complaints & Incidents process, ensuring timely escalation and documentation of corrective actions
  • Maintain accurate governance records – meeting minutes, action logs, RMS usage tracking
  • Support admin tasks such as managing purchase orders, invoices, interview scheduling, and onboarding setup
  • Organise clinical training programmes in collaboration with the Training Lead, track completions, and manage training feedback and records

What You\'ll Bring To HeliosX

  • Proven experience in a coordination or operations role – ideally within healthcare, healthtech, or another regulated environment
  • Exceptionally organised, with the ability to juggle multiple tasks and workstreams without missing a beat
  • Comfortable working with spreadsheets (Google Sheets/Excel), using data to track performance and generate insights
  • Confident communicator with strong stakeholder management skills, especially when supporting clinicians or cross-functional teams
  • Able to translate data into meaningful visuals (experience with dashboards or BI tools is a plus)
  • Calm, proactive, and solutions-focused – especially when things get busy
