Role Description

An opportunity has arisen to join a facilities management team in the world\'s leading music and entertainment business. This team looks after an impressive modern office space spread across two sites in Farringdon London and ensures that the employees who work here receive excellent service to enable them to do their jobs to the highest standards.

The position will report to the Facilities Coordinator and will work closely with the Senior Mail Clerk, alongside existing roles within the Facilities team. The main purpose of the role is to work parallel with the Senior Mail Clerk and fully support the Facilities Coordinator in the day-to-day running of the office/business by providing 5-star customer service to all staff working within and in conjunction with the building.

What the role includes

  • Helping and supporting the Senior Mail Clerk and Facilities Coordinator with the day-to-day operations of two offices in Farringdon, London
  • Heavy lifting and carrying crates and boxes as well as other items such as copier paper that may be required – Manual Handling training to be provided
  • Distributing and collecting mail, newspapers and magazines around the offices
  • Liaising with and booking outbound and inbound couriers
  • Advising staff on the best options for their outbound and inbound deliveries and dealing with queries; face to face, telephone and email
  • Checking the parcel cupboard regularly for deliveries and then sorting and logging collected parcels and deliveries accordingly
  • Security scanning letters or parcels as and when required
  • Putting parcels in the parcel lockers for staff to collect
  • Notifying staff that they have parcels to collect in the parcel lockers and mail room
  • Securely packaging outbound parcels to ensure they arrive at their destination without damage
  • Distributing milk and fruit to the tea points and canteen and ensuring Porters Place coffee machines are filled
  • Refilling Exec office and meeting room fridges with water bottles
  • Helping Reception with restocking stationary supplies
  • Assisting the Senior Mail Clerk and Facilities Coordinator with event setups (moving furniture, putting out chairs, erecting signs, etc.) and room setups
  • Working with the Senior Mail Clerk to keep the beer lines on the bar clean ready for events and making sure that there are full kegs and gas canisters on the bar before events
  • Auditing the Wellness Space and Games Room and checking equipment is safe and usable
  • Checking for and reporting faults around the offices
  • General facilities tasks and helping with ad hoc requests from the Senior Mail Clerk, Facilities Coordinator and staff
  • Monitoring tickets on the Help Desk for any mail room related requests
  • Supporting the Facilities Coordinator with the onsite and offsite storage
  • Photocopying, scanning, binding, typing, amending and printing documentation as instructed

Shared Responsibilities

  • Incoming /outgoing letters, parcels, couriers, deliveries etc. shared responsibility with Reception team / Mail Clerks as and when required
  • Work alongside the Reception team to ensure all internal/external onsite events/meetings run safely and smoothly to a high standard
